Don't Let a Speaker's Style Defeat Substance

A keynote speaker at Meeting Professionals International's MeetDifferent 2010 has been generating sparks from bloggers who followed the conference, not because of his message, but for the way he delivered it.

What happens when you hear the phrase process improvement? Do you groan or sigh? Do you think "this is going to be a lot of work and take a lot of time?" Typically, this is the natural response to the concept of process improvement. But, it does not have to be that way. Here are five (5) simple steps that you can take to improve the productivity of you business

There are certain basic tasks that must be done to make a business successful. Sometimes it is useful to take a fresh look at these basics to see that the organization is still on track. If there are fundamental problems in the daily operations of your business, changes in other areas may not lead to improvements. Concepts like orderliness, cleanliness, discipline, and managing costs and prices are examples of fundamentals in any organization. Also, when employees' basic needs are not being met, we cannot expect to make meaningful improvements in other areas. Taking care of the basics can lead to improved productivity, safety, and employee satisfaction. Adopting the 5S philosophy of Kaizen (Japanese taken from the words kai, which means change, and zen, which means good) is one way to take care of the basics. This is a frequently used tool from the LEAN Six Sigma tool box.

The 5S model includes:

o Sort: Clear out unused or rarely used items from the work areas
o Straighten: Create a place for everything and everything in its place
o Shine: Keep things clean, no dirt or trash in the work place. Regularly look for and remove things that could interfere with quality, timely work.
o Standardize: Develop systems and procedures to maintain productivity and quality work.
o Sustain: Use regularly management audits to maintain a stabilized workplace

Example:

The number of claims by third part administrators because of errors was a serious problem for one hospital. Incorrect claims led to additional work for claims staff and delays in reimbursements for the hospital. A process improvement team was established to address the issue. They interviewed claims processors and others in the business office. They found that noise levels and constant interruptions made it difficult for claims processors to complete an entire claim transaction without disruption. Disruptions led to missed steps in the claims process Simple changes were made to correct the problem. Employees who liked to listen to music while they worked were asked to use headphone and each claims processor was given a block of "protected time" each week. During this protected time, they could forward their telephone calls to a co-worker and were not available for meetings. With these simple changes, the volume of returned claims decreased by 40%.

Kaizen is a good starting point for process improvement that is quick and easy and will result in measurable and sustainable productivity improvement.

Color is the life, the emotion, the animation, and the passion you express in speaking. Whether you are in conversation, holding a conference call, or giving a speech or presentation, not expressing color when you talk is referred to as speaking in monotone. Another way of saying it is boring.

I have found a distinct relationship between dressing colorfully and speaking with expression. While I am generalizing, it has been interesting to see how those who dress with color usually speak with color as well; whereas, those who do tend to be staid in their appearance often speak in a monotone.

One of my clients came to her sessions every week dressed in black with long straight black hair and no makeup. Trying to get her to put some life into her delivery was like pulling teeth. Her appearance was bland as well as her voice. She resisted change because it meant that she would have to allow for some emotion and that was her stumbling block.

Again I am generalizing, but I have found that accountants, research scientists, and professional athletes are often lacking in expressive delivery. If you look at the human dynamics model, these people are more than likely mentally-centered or physically-centered. It does not mean they do not feel emotion: they tend to keep their emotions inside. And, this is not something found just in those three professions. A surprising number of print journalists and visual artists are indeed very expressive in the printed word or in their art, but they often will not voice those emotions in speaking.

Color is heard not just in the voice but is seen in the face as well as in one's body language. A good example of an actor with tremendous facial expression and body language is Harrison Ford. He does not have to say one word for you to know exactly how he is feeling. Just by watching the expression on his face and the movement of his body, you know what is happening.

Do not think that keeping your emotions hidden is a strength. It is not - it is a weakness. You can have the greatest voice in the world but if you speak in a monotone, exhibiting no emotion in your face or in your body language, then you will put your audience to sleep. Being expressive, be it at the lectern or just in conversation, is a requirement if you want your message to be heard.

This slim volume is clearly intended as a stop-gap product to tide eager readers over until the final volume of the series is released. In addition to three previously unreleased short stories about Percy and his companions, it also includes such filler as interviews with the same, along with word games, portraits of some of the Gods and their half-blood offspring, and the inevitable sneak preview of Book 5. The short stories are the meat of this book, and are filled with Riordan's trademark anachronistic humor. The first one puts Percy and his enemy Clarisse, the daughter of Ares, on the same team as she tries to retrieve her father's chariot, which has been hijacked as a prank by her two immortal brothers. The second story relates an incident that occurred during one of Camp Half-Blood's infamous Capture the Flag games, when Charlie Beckendorf, the camp counselor for Hephaestus, is captured by a horde of giant, poisonous ants, and has to be rescued with the help of a mechanical dragon. The final story brings Percy, Thalia, and Nico, the son of Hades, together at the request of Persephone to help retrieve Hades's stolen sword, the loss of which could be deadly to the Gods, and the resolution of which forms a lead-up to the probable events of Book 5. Despite the fact that this is more of a marketing package than anything else, the quality of and interest in the three stories likely justifies its purchase.
